Guest Relations – Private Rental Events – Seasonal Worker

The Holden Arboretum is recruiting for a seasonal Rental Event Representative to assist the Private Rental Facilities Coordinator with all private rental event activities and delivering outstanding customer service to our members and guests during our busy season. The ability to work days and evenings Friday through Sunday is a must.

 

Responsibilities include but are not limited to:

  • Special event set-up and tear-down, including tents, tables, chairs, equipment and trash removal.
  • Performing general housekeeping activities and maintaining the general cleanliness of facilities before, during and after events.
  • Being the first point of contact for the rental client. 
  • Serving as Holden’s representative/liaison for catering and other vendor needs while events are taking place.
  • Providing prompt and courteous customer service.
  • Ensuring that private rental guests do not interfere with general guest activities at Holden. 
  • Bartending duties may be assigned on an as-needed basis. 

Working Conditions:

 

Work indoors and out in a variety of weather conditions where there may be extreme variations in temperature, and the weather ranges from clear and sunny to windy and rainy.

 

Requirements:

  • Work days and evenings Friday through Sunday.
  • Perform strenuous physical activities when necessary for event set-up and tear down.
  • Strong customer service skills and experience working with the general public.
  • Ability to effectively manage multiple tasks. 
  • Ability to take initiative, work independently, and perform effectively in a team environment. 
  • Catering and/or bartending experience is a plus.
  • Must be 21 years old or older.
  • Valid Ohio driver’s license with less than 4 points.

Part-time Guest Relations Representative - Seasonal

  • Promoting membership and providing information on featured and upcoming attractions, classes, activities, and seasonal programming.
  • General housekeeping such as cleaning windows, floors and restrooms, trash removal.

Work indoors and out in a variety of weather conditions where there may be extreme variations in temperature, and the weather ranges from clear and sunny to windy and rainy.

 

Requirements of the position include:

  • Performing strenuous physical activities when necessary for event set-up and tear down.
  • Strong customer service skills and experience working with the general public.
  • Excellent verbal and written communication skills.
  • Computer experience in a Windows environment using Word and Excel
  • Effectively solving medium to complex problems and managing multiple tasks.
  • Working independently as part of a team.

Horticulture Workers/Gardeners - Seasonal

The Holden Arboretum is recruiting people to perform hands-on work in our gardens and natural areas. We will begin staffing these positions for a period of five (3) to five (5) months depending on the growing season and project needs.

Responsibilities include but are not limited to planting and maintaining a variety of woody and herbaceous plants, pruning, deadheading, weeding, mulching, planting, transplanting, dividing perennials, watering, fertilizing, hauling brush, mowing, raking, pest control, installing and removing deer fencing and the use of deer repellent; and the use of herbicides to control invasive plants.

 

Working Conditions:

  • Work outdoors in all types of weather conditions.
  • Work in and around poison ivy and poison sumac, shallow water, mud and brush.
  • Work around stinging insects.

Requirements of the position include:

  • Experienced gardeners preferred.
  • Experienced equipment operators for tractor and fine turf mowing and string line trimming preferred.
  • Use of hand pruners, loppers, hand saws and backpack sprayers.
  • Application of herbicides and deer repellent.
  • Able to work independently and within small work teams.
  • Good interpersonal skills.
  • Attention to detail.
  • Operation and routine maintenance of power equipment.
  • Valid driver’s license.

Essential Elements of the position with or without reasonable accommodation:

  • Work outdoors where the ambient temperature spans 0 - 100 degrees Fahrenheit
  • Transport oneself by foot over a variety of terrain that may be wet, slippery, uneven, rocky

Guest Relations Manager

Manages the guest relations staff and the day-to-day operations of the department; designs and implements initiatives to support Holden’s mission; evaluates procedures and determines whether it may be necessary to modify, eliminate or implement new ones; facilitates the development of policies, practices and procedures; facilitates guest relations training; plans, directs, monitors and assesses the performance of various programs.

Major Responsibilities

Manages day-to-day operations of the Guest Relations Department at the Corning Visitor Center (80 percent)                                                                                          

  • Ensures that the day-to-day operations of the Corning Visitor Center are achieved qualitatively, effectively and within budgetary guidelines established in collaboration with the director
  • Develop flow patterns to ensure guests receive outstanding service
  • Ensures department representatives provide a friendly environment, which must include greeting and acknowledging every guest, maintaining solid knowledge of Holden and all other aspects of guest service.
  • Assigns work and reviews performance to ensure assignments and quality standards are met and policies, procedures adhered to
  • Manages subordinates and establishes productive communication and cooperation across work unit boundaries to improve core processes
  • Provides adequate training for staff to perform their work and effectively carry out department initiatives
  • Conducts performance appraisals and identifies opportunities to develop staff in accordance with departmental and organizational goals
  • Prepares periodic progress reports for the department director on new and revised programs
  • Prepares operations reports, documentation and payroll and personnel records
  • Assists in the establishment of department objectives and performance standards
  • Leads and participates in focus groups, quality teams, and other group activities in the spirit of continuous improvement

Actively participates in the design and implementation of guest relations initiatives and innovative policies, practices and procedures (20 percent)

  • Consistently reviews guest service policies, practices and procedures for effectiveness and alignment with Holden’s mission
  • Compiles narrative and quantitative reports
  • Identify and implement procedures and systems to collect and maintain guest-related data, tracking and reporting systems for ongoing evaluation and remediation
  • Identify guest issues that require the design of new and improved initiatives
  • Ensures that guest service initiatives and expectations are communicated throughout the organization.

Qualifications include a passion for visitor service, ability to lead and work within a team environment and motivate others to present the best in visitor/staff relations.  Ability to juggle multiple priorities and handle front line pressures.   A bachelor’s and prior customer service experience in a management capacity, preferably in a museum/hospitality/resort environment.

Assistant Manager, Guest Relations and Communications

Job Summary:  Assists the Guest Relations Manager managing day-to-day operations; provides prompt and courteous customer service by ensuring customer needs are met, complaints are resolved and service is quick and efficient; manages retail operations and assists with the implementation of strategies to drive sales and increase profitability.

Major Responsibilities

Assists Guest Relations Manager with Day-To-Day Operations (40 percent)

  • Assists with daily operations
  • Ensures other responsibilities are being carried-out including supervision of guest relations staff
  • Ensures event set up is executed in a timely and accurate manner
  • Ensures procedures are followed when opening and closing the building
  • Provides support for POS software and hardware, troubleshooting problems as they arise
  • Trains Holden employees and volunteers on various programs including POS system and customer service
  • Balances cash drawers and prepares daily reports
  • Promotes and sells new memberships and membership renewals
  • Responsibilities at the information desk may include answering calls, taking reservations, registrations, handling cash, admissions, preparing financial reports, etc.
  • Prepares daily bank deposit

Manage Treehouse Retail Operation (35 percent)

  • Develops and implements strategies to improve customer service, drive retail sales, and increase profitability
  • Selects and purchases merchandise to increase sales and profitability
  • Creates merchandise displays to increase sales and profitability
  • Reconciles cash with sales receipts, maintain operating records and prepare a record of transactions
  • Ensures accurate recording and reporting of sales, deposit preparation, cash control, and credit card procedures
  • Prepares reports on retail activity
  • Performs annual physical inventory
  • Trains Holden employees and volunteers on selling and merchandising

 Provides Prompt and Courteous Customer Service (15 percent)                                                             

  • Promotes Holden’s mission by assisting customers and answering questions on natural history, horticulture and history of Holden
  • Greets guests upon their arrival and provides property tours when necessary
  • Troubleshoots problems, manages customer concerns, communicates effectively and provides prompt follow-up
  • Prepares and handles customer payments
  • Manages customer correspondence and records
  • Orders and confirms services in accordance with Holden’s standards and practices

Performs other activities as required (10%)

  • Ensures vendors provide specified services according to contract
  • Schedules golf cart tours
  • Restocks brochures and other material within Corning Visitor Center, as needed
  • Supports special event activities
  • Provides clerical support for Special Events Manager
  • Recommends process and procedure enhancements for the department

Qualifications:

Associate's degree with two years experience or bachelor’s degree

Two years retail supervisory experience

Passion for visitor service

Community Forester

Position Overview

 

The Community Forester promotes the environmental, socioeconomic, and aesthetic values of trees and forests to communities in Northeast Ohio by encouraging scientifically based urban forest and arboricultural decisions and practices. He/She advocates for planting and caring for trees in the urban environment, and fosters and participates in partnerships among public and private interests that protect, conserve, and nurture trees in their communities. The Community Forester also plays a lead role in establishing Holden as a focal point for municipalities, institutions, organizations, and individuals to come for information, ideas, and activities that promote improved tree health and enhanced beauty and livability of Northeast Ohio communities.  The position reports to the Director of Education and Information Services.

 

Duties

 

The Community Forester conducts outreach and on-site activities selected to maximize Holden’s service to the community.  The following are examples of potential activities.

 

Outreach (80 percent)

  • Serve as a clearinghouse of existing information for public and professional audiences concerned with woody plants in urban and suburban communities
  • Develop informational and educational materials concerning the value, planting, and care of trees in urban settings
  • Advocate awareness of the value of trees in an urban landscape and sustainable forest management  through field tours, workshops, seminars, conferences, demonstrations of sustainable forest management, media releases, and contacts with municipalities and government officials
  • Provide communities with technical assistance regarding street tree surveys, tree maintenance, tree planting, green space management, and tree ordinances
  • Make communities aware of and assist them in applying for grants, including collaborations with Holden
  • Determine suitable tree species for planting in urban environments; advise towns on tree selection; and develop model contracts for purchase and planting of trees
  • Lead Holden’s Arbor Day activities in Northeast Ohio
  • Lead active collaborations with relevant professional organizations and government agencies, and take an active role with those most important to Holden
  • Lead Holden’s outreach in forest management for small parcel landowners and managers

 

On-site programs (20 percent)

  • Lead and coordinate input and staffing to Holden’s tree information center and answer the public’s questions about trees and related subjects
  • Lead the management aspects of a demonstration woodland and provide input to its programs and management
  • Contribute to interpretive projects, teaching and writing for the Leaves magazine and Holden's web site as needed
  • Participate in developing existing and new garden projects such as the Home Demonstration Garden and the Urban Tree Display

 

Training and Experience:

  • Master’s degree in forestry, horticulture, biology, botany, landscape architecture or closely related field
  • Professional experience in urban and community forestry
  • Strong verbal and written communication skills along with a proven record of public presentation activities
  • Course work in communications and/or media experience
  • An outgoing personality energized by public contact
  • Ability to assimilate and translate into common language a considerable body of technical information about trees and related subjects, including the latest research findings.
